Adding colleagues to your organization
Owners and admins invite colleagues by email address as admin or staff. Invites expire after 7 days, are single-use, and only work for the exact address they were sent to. Owner is not an invitable role: owners are promoted from existing members by another owner.
First: there are two different role systems
This trips up nearly everyone, and the two are unrelated. Knowing which one someone means saves an afternoon.
| Values | Decides | |
|---|---|---|
| Platform role | organizer, venue owner, attendee, admin | Which dashboard you see when you log in |
| Organization role | owner, admin, staff | What you can do inside your own company |
This page is about the second one. Your platform role is set when your application is approved and does not change when someone adds you to a company.
What each organization role can do
| Role | Manage members | Edit organization | Verify domain | Delete organization |
|---|---|---|---|---|
| Owner | Yes | Yes | Yes | Yes |
| Admin | Yes | Yes | No | No |
| Staff | No | No | No | No |
Running events is not in that table on purpose. It is decided by organization membership, not by role — all three can run events. The table above is about administering the company.
Inviting someone
- Open your organization's members page. Owners and admins have access; staff do not.
- Enter their email address and choose admin or staff.
- They accept within 7 days.
Three things about invites that surprise people
- Bound to the address. An invite works only for the address it was sent to. Forwarding it to a personal account fails.
- Single use, 7 days. After that, send a new one.
- Owner is not on the dropdown. See below.
Owners are promoted, never invited
There is no way to invite someone directly as an owner. Ownership moves by an existing owner promoting an existing member.
The reason is worth a sentence, because the rule looks arbitrary until you see it: if an invite could mint an owner, an admin could email an invite to their own second address, accept it, and end up with more authority than the role they hold. Promotion keeps the ceiling intact. For the same reason, an admin cannot demote an owner either.
And the last owner cannot be demoted or removed. Promote someone else first, or the organization would be left with nobody able to verify a domain or delete it.
Removing someone
Removal requires a written reason of at least eight characters, and it is recorded in the audit log against the person who did it. It is a small amount of friction on an action that is easy to regret and hard to reconstruct later.
Domain verification: what it is actually for
Verifying your domain does not gate inviting people — you can invite anyone at any address without it. What it unlocks is the opposite: the ability to restrict invites to your own domain, so nobody can add a personal address to your organization.
Two rules to know:
- Public providers cannot be claimed. Gmail, Googlemail, Outlook, Proton, iCloud, Zoho and the rest are refused, for the obvious reason.
- A domain belongs to one organization. Two organizations can never verify the same one.
Someone who requests to join a verified organization is granted staff, never more. Promote them afterwards if they need it.
There are no seats
Add as many colleagues as you like. Blend'n has no seats, quotas, tiers or per-user pricing, so team size never triggers a plan change or a bill.
Common questions
- How do I make someone an owner of my organization?
- Invite them as an admin or staff first, then promote them once they have joined. Owners are promoted, never invited, and only an existing owner can promote someone to owner. An admin can neither promote to owner nor demote one.
- Why did my colleague's invite link not work?
- An invite is bound to the exact email address it was sent to, is single-use, and expires after 7 days. A link forwarded to a different address will be refused. Send a fresh invite to the address they actually want to use.
- What is the difference between an admin and a staff member?
- Admins can manage members and edit the organization; staff can do neither. Both can run events, because running events depends on being a member of the organization rather than on which role you hold. Only owners can verify a domain or delete the organization.
- Do I need to verify a domain before I can invite people?
- No. Verification is optional and unlocks the ability to restrict invites to that domain. You can invite anyone without it. Public email providers such as Gmail, Outlook, Proton, iCloud and Zoho cannot be claimed as a domain by anyone.
- Can I remove the last owner of an organization?
- No. The last owner cannot be demoted or removed — you have to promote someone else to owner first. Removing any member requires a written reason of at least eight characters, which is recorded in the audit log.
- How many people can I add to my organization?
- There is no limit. Blend'n has no seats, quotas, tiers or per-user pricing, so adding a colleague never costs anything or requires a plan change.
